How to Add a Professional Email Signature in Webmail

Make your business emails easier to follow up. Add a clear signature in Roundcube, check it on your iPhone and test what customers receive.

A customer opens your quotation on a phone. They can see the price, but who should they call with a question? A short email signature puts your name, business and preferred contact details at the end of the message.

You do not need a designer or a large banner. Start with readable text, add it to the app you use to send mail, and check what the recipient actually receives.

This guide covers Roundcube webmail, with a separate step for Apple Mail on iPhone. If your webmail looks different, use its own signature settings rather than changing your email account or DNS.

1. Write the details before opening settings

For a small business in Ghana, four or five lines are usually enough:

  • Your name, or the team name for a general enquiries address.
  • Your role and business name.
  • Your business email address.
  • A business phone number, if you want customers to call.
  • Your website or city, where useful.

Here is a fictional example you can adapt. The address uses the reserved example.com domain; it is not a working customer address.

Replace every example detail with your own. If you add a Ghanaian number for international contacts, write it with +233 and omit the initial 0 from the local number. Label it “WhatsApp” only if you actually handle business enquiries there. Ghana numbering reference

For a hypothetical Kumasi furniture workshop, a workshop number and city may be enough. A consultant working with overseas clients might prefer a role and website link. Choose the details that help someone continue the conversation, rather than listing every social account you own.

If you do not have a website yet, leave that line out. You can still use a domain email address; our guide to business email without a website explains the distinction.

2. Add it in Roundcube webmail

Open the webmail link supplied for your own Nakroteck email service. Nakroteck offers browser-based mail access, alongside compatible phone and desktop apps. Use your account's link rather than guessing a server address. Nakroteck email service details

In Roundcube:

  1. Open Settings, then Identities.
  2. Select the existing identity for your mailbox.
  3. Check the Display name and enter your text in Signature.
  4. Save, then compose a new message to inspect it.

Keep the existing sending address. Editing an identity does not create another mailbox. Leave Reply-to and Bcc unchanged unless you deliberately need different reply handling or copies. Roundcube may restrict which identity fields you can edit. Roundcube sender identity documentation

If the signature is not inserted automatically, check Settings → Preferences → Composing Messages for signature insertion options, then save your selection. Labels can vary with the installed version. Roundcube composing preferences

Plain text is a good starting point. A small logo can come later, after you have checked the basic signature.

Keep your name, email address and phone number as text instead of putting everything inside an image. That lets someone copy the details, and means the contact information remains available if an image does not appear.

Use a simple layout that fits a narrow phone screen. Avoid long rows of icons, full-width promotional banners and pale grey text that is hard to read. Include only information you would be comfortable having forwarded beyond the original recipient.

For a team, agree on one text template and let each person change their own name, role and contact details. Keep that template in a shared document so an old number or website address is easier to spot later.

4. Set up the phone app separately

Do not assume that saving a webmail signature has configured every device. Check each app you send from.

In Apple Mail on iPhone, open Settings → Apps → Mail → Signature. If you have several accounts, choose Per Account and edit the business account's text. Apple's documented signature setting supports text. This path is for Apple Mail, not the Gmail or Outlook app on the same iPhone. Apple's Mail settings guide

For another mail app, look for its account-specific signature setting and test the result. Menu names and available formatting depend on the app and account type. A missing signature is not a reason to change MX records, reset your mailbox password or buy another mailbox.

5. Check one new email and one reply

Before using the signature on a customer quotation, send a short message to another address you control. Use harmless test text, with no customer documents attached.

Check these points on the receiving phone or computer:

Check What to look for
Sender The expected business address and a recognisable name
Contact details Correct spelling, number and links
Small screen No awkward horizontal scrolling or oversized image
Reply A readable signature without an extra manually pasted copy
Second device The right signature when sending from your usual phone app

Open a fresh compose window after changing settings; an already-open draft may still contain the earlier text. If a signature looks crowded, remove decoration and repeat the test with plain text.

Your signature is ready when a recipient can identify you and find the next contact detail without searching through the conversation.
